Warehouse Creation

Warehouse creation is important because all orders or dispatches must be linked to a warehouse or receiving agent through the Stock Location field during New Order Creation.


This document illustrates the following steps:

  1. Create a new Warehouse
  2. Flag the Warehouse as a Location
  3. Associate the Warehouse with an Agent
  4. Associate the Warehouse with an Airport
  5. Set Warehouse and Location to YES for an existing record


Creation of a new Warehouse

Important notes:

  • Before creating a new warehouse, always check whether it already exists in the system.
    1. Navigate to Back OfficeMaster Data Master Entities.

    2. Search for the warehouse by name, address, or both. 

      Some warehouses may share similar names but have different locations.

  • Proceed with creation only if there is no existing record.

  • If a record exists, respond to the requester for clarification before closing the ticket.

  • If a record exists but is not flagged as a Warehouse, creation is still required (refer to step 5).  


Steps:

  1. Navigate to Back Office →  Master Data   Warehouses → Click the  (Add Warehousebutton. 
  2. Fill in the required warehouse details: Name, Address, Postal Code, ISO, and Contact Information.
    Iso = A unique combination of initials assigned to an individual warehouse. The initials are usually derived from the first letters of the warehouse’s Domain, City, and Country. 
    Example: SMW-FIN-JMB . This ISO Code refers to SwiftMarineWarehouse-Finland-Jumbo Transport 

  3. Click on the ADD button. 

  4. You will see a prompt on the screen: “The warehouse was successfully created.”

  5. Search again by the Warehouse Name to confirm the newly created warehouse appears in the list. 


Flag Warehouse as Location

For a Warehouse to be available in the Stock Location field, it must be flagged as a Location.


Steps:

  1. Back Office →  Master Data → Master Entities → Enter Warehouse Name, check if the record has the 'Is Location' flag equal to YES. If it is not, click on EDIT Is Location column select YES from the dropdown   → UPDATE 



Associate the Warehouse with an Agent

Steps:

  1. Back Office →  Master Data → Warehouses  Enter the Warehouse Name  Click the expand arrow Click on WAREHOUSE TO AGENT  Click the pencil icon ✏️ to add an agent 
  2. Type the Agent to be associated, as requested by the operator, and select it from the suggested list → SAVE
  3. The agent has been successfully attached to the warehouse

Associate the Warehouse with an Airport

Steps:

  1. Back Office →  Master Data → Warehouses  Enter the Warehouse Name  Click the expand arrow Click on WAREHOUSE TO AIRPORT  Click the pencil icon ✏️ to add an airport 
  2. Type the Airport to be associated, as requested by the operator, and select it from the suggested list → SAVE
  3. The airport has been successfully attached to the warehouse



Set Warehouse and Location to YES for an existing account

If the account already exists, do not create a new one — simply flag Warehouse and Location as YES


Steps:

  1. Back Office →  Master Data → Master Entities  Enter the Warehouse Name  EDIT 
  2. Is Warehouse column  select YES from the dropdown   Is Location column  select YES from the dropdown  UPDATE  
  3. A message will prompt: Master Entity was Successfully Updated.
  4. Back Office →  Master Data → WAREHOUSES  proceed to create the Iso code and attach the warehouse to the corresponding Agent or Airport, as requested (steps 3 and 4).
