Navigator - Adding a Vessel and Client

Modified on Thu, 22 Feb, 2024 at 10:05 AM

There are two ways you can do this. You can either go to the Clients section of the Back Office in Navigator and add the vessel there, or if you don't have the vessel, you can add it first in the Vessels section.

1) Before anything, always make sure you have the IMO number for the vessel the ticket is talking about. If they don't mention it, ask for the IMO number. This is a unique identifier for the vessel. You can have two different Vessels with the same name, but they will ultimately have a different IMO number.

On the Client End:

Adding or Checking a Vessel:

1) On Navigator, go to Vessels.

2) Normally, when searching the IMO number, you should be able to find the vessel here. 99% of the time this shouldn't be an issue. However, on rare occasions if the IMO number does not exist on this list, proceed to the next step.

3) Click the + sign on the top left of the screen under Vessels. Put in the IMO number and click the Search button to find it. When putting the IMO in the search bar, if it exists, a Results box will appear under this box showing the vessel discovered. Clicking on View Option for the vessel you select will autofill all the columns in your main search bar where you Add the vessel. Double check the info, and when satisfied, click on ADD. Now the vessel is successfully added in navigator.

Not that you may have a result where you get a notice saying No results from your input. Please try with different inputs or use the continue button in order to provide data manually. This happens for 2 reasons. One, the vessel could be new and there wasn't enough time to update it. Two, there is a typo in the IMO that the requester gave us. In case two, we ask the requester if the IMO is correct. Let them know you couldn't find it.

4) Once the Vessel is created (Or you confirm the vessel exists), you can assign it to the client. Click the dropdown button denoted as > next to the Edit button

5) Check if the vessel currently has a client in the Client-Vessel tab. If not, you can add the client by clicking the + sign. Here, you can add the name of the client and can be given the choice to move active orders to it or set it as a primary flag.

Keep in mind that new vessels that you just created will not have any clients set, so you must set the client based on what was given to you in the ticket. In that case, you will typically not have any active orders, so you should click on the Move Active Orders switch that appears in the Set Client box that was created.
